Speaker Participation Policy for TechBBQ Conference

As a valued speaker at TechBBQ, we’re committed to supporting your participation and ensuring a successful collaboration. By joining us as a speaker, you agree to these policies, which are designed to foster transparency and help create a positive and smooth experience for everyone involved.

By confirming your participation and accepting our support through our registration form, you agree to the following policies and terms:

1. Marketing and Promotional Policy

• By confirming your participation and submitting the registration form, you grant TechBBQ the right to use your name, headshot, Linkedin profile (company and personal) and biography for marketing and promotional purposes.
  • TechBBQ may feature your image, bio, and name on its website, event app, printed programs, and across social media channels, as well as in email newsletters and other marketing communications.
    • This information is collected through the Registration Form so please only add information you are okay with us sharing publicly.
  • This includes pre-event, during-event, and post-event promotional activities to highlight your participation as a speaker.
  • You can view our website and SoMe channels for a better understanding of how we promote our speakers.
• Promotional Activities: It goes against our company and community guidelines for Speakers to use their Speaker Ticket or Speaker guest Ticket for promotional activities, such as public giveaways, social media contests, or other marketing campaigns.

2. Data Collection and Privacy Policy

• Personal Data for Event Purposes: By registering as a speaker, you consent to the collection and processing of necessary personal data (e.g., passport information, and contact details) for the purposes of travel coordination and event logistics.
• Demographic Data: In line with our commitment to diversity and inclusivity, TechBBQ may collect additional demographic information (such as gender, race, and nationality) to better understand our speaker base. Submission of this information is voluntary and will be used for internal reporting and to improve future speaker representation.
• GDPR Compliance: All personal data will be handled following GDPR. Your data will be securely stored and only used for purposes directly related to the TechBBQ event.

3. Ticketing and Access Policy

• Speaker Ticket: Each speaker is provided with a full-access ticket to the TechBBQ conference, including entry to all the speaker spaces and activities. You need to claim your ticket before the summit starts in order to be able to enter the venue.
  • All tickets are non-refundable for TechBBQ 2026. This means that if you purchased another ticket type before your confirmation as a speaker, these tickets are not refundable. You will however be able to re-assign the name on that ticket to someone else.
• Complimentary Speaker Guest Ticket: As a valued speaker at our summit, we are delighted to provide you with a complimentary +1 General Attendee ticket type for a guest (executive assistant, colleague) to join you at TechBBQ. This ticket is not transferable to other ticket types and does not grant access to speaker-specific areas or events. If you require any other ticket type for your Speaker Guest, you will need to purchase that separately.

Please consider carefully who your +1 will be, as we will not be allocating additional +1 Speaker guest tickets. In the event you decide to have someone else joining you on this ticket  (and not the current assignee of the ticket), we can re-assign the existing ticket to a new person.

• Deadline to claim tickets:

    - **Speaker Guest Tickets** need to be claimed by the 25th of August, and if not claimed by then, they will expire and your option to have a +1 will be void. **To prevent this, please claim your +1 tickets immediately and then you can always assign them to a guest at a later date.**
